Job Description
St. Joseph's Regional Catholic School is looking for a full-time administrative assistant for the 2018-2019 school year.

St. Joseph's is a private Catholic Pre-K through the 8th-grade institution that provides a safe, nurturing environment in which thinkers and believers are developed. Duties & Responsibilities:
• Maintains confidentiality regarding all office operations, including faculty, staff, church, student, and the student’s family
• Maintains a pleasant demeanor with parents and visitors that reflects the mission/philosophy of the school
• Maintains front door security
• Greets and direct all visitors and guests
• Assists all visitors, substitutes, and volunteers to sign in
• Records students who arrive late in the morning
• Records students who are dismissed early
• Records changes in dismissal
• Generates student/office/Archdiocesan documents and reports promptly and as needed
• Maintains Rediker Student Information System containing general student information
• Posts grades and prints report cards from Rediker
• Imports daily student attendance
• Assists volunteers in completing the Archdiocese of Washington’s Child Protection Program
• Maintains the Child Protection Database online and record documents/updates as needed
• Maintains students’ cumulative folders according to Archdiocese of Washington standards
• Transfers students’ files and request students’ files as needed
• Assists the principal and bookkeeper with registration for new and returning students
• Follows up and document contact with prospective parents
• Generates documents requested by the principal and teachers as needed
• Generates milk order forms, collect payments, and record on spreadsheet
• Places milk orders and makes adjustments as needed
• Records all incoming money and prepare deposits to go to the bank
• Corresponds as needed with parents and teachers via email
• Retrieves and distribute U.S. Mail daily
• Takes detailed messages as needed
• Pages students and teachers as needed
• Assists students who are sick or injured in the school nurse's absence
• Answers incoming calls, ascertains the needs of the caller, and forward the calls to the proper staff member or voice mail
• Maintains inventory
• Organizes and maintains copy room and office supply closet
• Prepares mailings to school families
• Organizes parent forms for distribution
• Completes special assignments as requested by the administration
• Other duties as assigned

Job Requirements
Knowledge & Experience Requirements:
• Proficient in Microsoft Office Suite, with emphasis on Microsoft Word, Publisher and Excel
• Strong written and oral communications skills
• Previous office experience
• Administrative/organizational skills
• Bilingual candidates preferred
