JOB DESCRIPTION

POSITION: Administrative Assistant – Special Education
JOB GOAL: Provide personal administrative support to the administration through conducting and organizing administrative duties and activities including receiving and handling information.
QUALIFICATIONS:
This person should possess a consistent demonstration of effective interpersonal relationship skills, which will enable him/her to interact in a professional manner with students, parents, and staff.

1. Degree in any field from an accredited institution and/or relevant training or certification in office administration is preferred.
2. General knowledge of standard office procedures that includes a variety of clerical and secretarial duties.
3. Typing skills to input large volumes of text into a electronic database (EasyIEP)
4. Proofreading skills for correcting grammar, punctuation, and spelling errors of typed material and for proper format, accuracy, and completeness.
5.. Ability to use independently and stay current with a variety of computer applications, i.e. Microsoft Office, PowerSchool, EasyIEP, and other software programs, and to navigate on- line environments effectively with little supervision in a manner necessary to complete tasks assigned.
6. Ability to prioritize tasks and work assignments is essential, particularly in this fast-paced environment with frequent interruptions.
7. Capacity to work in a confidential manner
8. A moderate degree of independent decision-making and knowledge of the function of the work environment.


PERFORMANCE RESPONSIBILITIES:

Open, date stamp and distribute all office incoming mail.
Administrative Assistance to Director
Open, review and/or answer emails
Screen incoming phone calls
Schedule meetings/appointments
Assist Director and outside Special Education Counsel with collection of documents, scheduling meetings, etc. pertaining to legal cases.
Assist Director with all correspondence with DESE, i.e.; CPR, mediations, various audits as required by DESE
Field incoming parent calls.
Assist clerical staff with special education document process.
Assist Special Education Parent Advisory Council (SEPAC) with mailings, workshops, etc. as directed by Director
Assist Director and/or designee with out-of-district caseload
Respond to requests for student records.
Coordinate hospitalization tutoring
Assist Special Education Coordinators with projects as needed
Assist with the data collection process
Assist transportation director with communications to parents regarding transportation
Collaborate with administrators, faculty and administrative assistants to effectively support the operation of the Arlington Public Schools.
Perform other reasonable and related tasks and responsibilities as assigned by the Special Education Director or Coordinator


TERMS OF EMPLOYMENT: 52 weeks per year
REPORTS TO: Director of Special Education
SALARY/BENEFITS: In accordance with AEA Unit C Contract

Job Requirements
