Administrative Assistant to Human Resources 

 

GOAL: This position will have dual responsibilities:  The responsibilities of Human Resource Assistant is for the purpose/s of maintaining accurate, confidential records of employee enrollment in benefit programs, resolving problems and assisting employees with benefit-related issues in an efficient and timely manner, and reviewing time cards for accuracy and preparing records for payroll.  

  1. High School Diploma. Previous HR experience beneficial.
  2. Organizational skills, word processing skills, ability to operate office machines such as computer, calculator, fax and copy machine.
  3. Knowledge of software applications such as Microsoft Office.
  4. Professional, personable, and welcoming.
  5. Ability to maintain confidentiality and professionalism in interacting with staff, public, parents and Board Members.

 

REPORTS TO: Superintendent of Bennington Public Schools and Business Manager

 

SUPERVISES: None

 

TERMS OF EMPLOYMENT: Twelve-month position

 

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board’s policy on Evaluation and Support Services Personnel.

 

PERFORMANCE RESPONSIBILITIES:

  • Formulate or modify procedures to solve complex payroll problems based on new tax laws, legislation and collective bargaining agreement with Bennington Education Association
  • Collect new employee paperwork and enrollment into District benefits
  • Conduct background checks on all employees prior to employment with the District
  • Review time cards, certified absences and sub jobs for accuracy prior to submittal to Business Manager for monthly payroll
  • Communicate with benefit vendors and administrators
  • Maintain accurate, confidential employee files for all employees of the District
  • Maintain the District’s substitute calling system (Aesop) and ensure all certified staff are properly trained on use of the Aesop software
  • Ensure that data to support local, state and federal reporting is available for those identified data requirements
  • Provide technical support to district staff members in the use of the data systems
  • Plan for training of district staff members as needed during upgrades and enhancements to data systems
  • Manage and maintain the employees SafeSchools courses
  • Ensure that needed reports and data needs are available in a timely manner
  • Compile various data related to employment as requested by the Administration 
  • Job posting, scheduling interviews and pre-employment document collection
  • Manage and maintain the district's Human Resources Information System (HRIS) and Teacher Appraisal program (TalentEd)
  • New employee on-boarding
  • Manage and maintain FMLA/FFCRA requests
  • Responsible for the employee life cycle such as new hire documents, termination paperwork, personnel changes, etc.
  • Collect transcripts and verify placement
  • Update budget with new staff and returning staff changes
  • Send and receive contracts and employment offers
  • Maintain teaching certificates for certified staff and substitutes teachers
  • Create and maintain NDE Staff ID’s for the district’s paraprofessionals and sub-paraprofessionals
  • Attend monthly Human Resource MOEC meetings
  • Employment verification request for employees.
  • Is adept at problem-solving, including being able to identify issues and resolve problems in a timely manner
  • Communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings
  • Effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback
  • Notify existing staff of available internal positions or opportunities
  • Update human resources databases by inputting information on new hires, separations, vacations, and sick leaves
  • Informs employees and applicants regarding a variety of procedures and program requirements for the purpose of providing necessary information for making decisions, taking appropriate action, and/or complying with established guidelines
  • Participates in meetings, workshops and seminars as assigned for the purpose of conveying and/or gathering information required to perform functions.  
  • All other duties as directed by the Superintendent of Schools

Skills, Knowledge and Abilities

 

SKILLS are required to perform multiple, non-technical tasks with a need to periodically upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent software applications; planning and managing projects; preparing and maintaining accurate records.

 

KNOWLEDGE required to satisfactorily perform the functions of the job includes: school district operations and philosophy; concepts of grammar and punctuation, knowledge of all levels of insurance coverage, ability to exercise independent judgment and use of acquired knowledge of employee benefits.

 

ABILITY is required to routinely gather, collate, and/or classify data and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; analyze data utilizing a variety of complex processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize specific, job- related equipment. In working with others, problem solving is required to identify issues and create action plans.

Problem solving with data requires analysis based on organizational objectives; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; setting priorities; working as part of a team; working with constant and sustained interruptions; working with detailed information/data.

 

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 60% sitting, 25% walking, and 15% standing. This job is performed in a generally clean and healthy environment.
