Job Description

Reports to: Director of Finance

Part-Time 19.5 hours per week

POSITION OVERVIEW: Prompt and accurate preparation and processing of the school department payroll and attendance as well as retirement reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES
• Prepare bi-weekly payroll for School Department staff.
• Coordinate and process longevity payments, both simple and compound for staff according to each collective bargaining agreement and individual contract. Coordinate all Schedule A stipend and Athletic Stipend payments.
• Maintain a master list of all employees, by salary account, in order to reconcile weekly and biweekly payroll warrants.
• Calculate the variance between approved budget and projected actual expenditures resulting from changes to personnel.
• Confirm accuracy of all payroll forms prior to processing.
• Ensure all payroll expenditures are correctly coded and reconciled for all funds. Verify accuracy of MUNIS.
• Calculate and process salary adjustments as necessary (e.g. new hire, leave of absence, resignation, termination). consistent with collective bargaining agreements or individual contracts.
• Oversee the maintenance and management of all payroll records (Action Forms, accruals, salary records, adjustments).
• Perform financial analysis and prepare projections of expenditures as compared to approved budget for salary accounts; review with the Deputy Superintendent for Administration and Finance and recommend actions as necessary.
• Coordinate with the Director of Finance to verify that salaries charged to grant and/or special revenue accounts are appropriate.
• Provide assistance to employees and administration. other Town departments and the general public by serving as a resource and liaison, while protecting confidentiality of information.
• Provide employee and payroll verification for third party vendors, both written and verbal.

• Research and respond to inquiries from School Department employees in regard to their earnings, deductions and/or benefits.
• Maintain salary table master file based on collective bargaining agreements.
• Process annual step and salary adjustments based on collective bargaining agreements and individual contracts.
• Record and track all staff requests for time off including vacation, personal and sick time, and ensuring day off requests have an
available balance.
• Report earnings to MTRS monthly and resolve all variances or discrepancies.
• Research all payroll and retirement data for past employees.
• Coordinate retirement and sick leave buy back for applicable staff members.
Process annual step and salary adjustments based on collective bargaining agreements and individual contracts.
• Perform any other duties deemed appropriate/necessary by the Director of Finance.

    Job Requirements

    • QUALIFICATIONS- REQUIRED:
      • Bachelor's Degree in Finance or a related field. Additional directly related work experience may be considered in lieu of this
      requirement
      • Minimum 2-3 years’ work experience with demonstrated knowledge of municipal bookkeeping, accounting and payroll procedures.
      • Proficiency with the Microsoft Office suite, Google, and MUNIS
      • Expertise in spreadsheet and word processing software.
      • Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures.
      • Ability to meet and deal effectively with the public
      • The successful candidate must have strong written and oral communication skills, as well as the ability to handle multiple tasks in a
      highly interactive environment.
      • Current authorization to work in the United States by the first day of employment.

      SALARY WILL COMMENSURATE WITH EXPERIENCE AND QUALIFICATIONS
    • At least 2 years of relevant experience preferred
    • Bachelor degree preferred
    • Citizenship, residency or work visa required
