Job Description


Serves the counseling/administrative staff by processing and maintaining accurate school/student records and completing other tasks of the Guidance Office as requested.




SALARY RANGE: Per clerical contract


REPORTS TO: Director of Guidance



  • Present a professional atmosphere and attitude as a face of the school to the community.
  • Answer routine and sensitive calls, take messages, route calls. Triage phone calls and public needs as necessary.
  • Assist in registering new students/withdrawals and process student records.
  • Maintain and update student demographics in the database. 
  • Schedule appointments for counselors, students, and parents.
  • Process working papers for 14-17 year olds in the community.
  • Coordinate and process college applications and transcripts for students and graduates. 
  • Ability to work with NAVIANCE software in a variety of ways, including recording final college decisions.
  • Coordinate, schedule, and serve as liaison for college information visits.
  • Type, prepare, distribute records, reports, correspondence and purchase orders, etc. related to Guidance functions.
  • Process and maintain student data and records, including schedules, grades and grade changes in the student data software program, Powerschool.
  • Process correspondence and office mailings.
  • Maintain an orderly, confidential, and compassionate office for students, staff, and families.
  • Ability to use a computer, learn the student information system, and use Google Docs, Microsoft Office, and other applications, to access information and reports as needed.
  • Responsible for grade changes from teachers and assisting the Guidance Director with report cards and progress reports.
  • Publish end-of-year booklet for students, staff, and general public.
  • Support the school psychologists.
  • All other responsibilities as assigned by the Guidance Director

High School diploma or general education degree (GED), two years of previous paid office experience or related experience and/or training; or equivalent combination of education and experience.



  • Ability to operate computers and related computer software, and adapt to technology presently or in the future in the office environment.
  • Ability to manipulate a database.
  • Ability to read and comprehend instructions, correspondence, and memos.  Ability to write correspondence.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Ability to interact positively with the public and deal effectively with all types of people and situations.
  • Ability to develop effective working relationships with students, staff and the school community.  
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to speak effectively before parents, staff and students.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies.
