High School Principal’s Secretary 


 

Job Summary

Serves as the Secretary/Bookkeeper to the Principal.

 

Reports To:  Principal

 

Minimum Qualifications


  1. High School Diploma or equivalent
  2. Demonstrated Communications Skills
  3. Demonstrated Public Relation Skills
  4. Demonstrated Organizational Skills
  5. Demonstrated Computer Skills
  6. Ability to Perform Essential Job Functions

  8. Must complete a finger-print background check at own expense

 

Desired Qualifications


  1. Knowledge of and experience with accounting principles, including fund internal controls
  2. Background in State Procurement Code
  3. Knowledge of and experience in budgeting and reporting
  4. Knowledge of and experience in accounts receivable
  5. Knowledge of and experience with Google modules
  6. Better than average recommendations from previous employers and/or other professionals familiar with the applicant’s personal characteristics, academic achievement and workplace performance
  7. Five years Experience (Related)

 

Essential Duties and Responsibilities


  • Provide secretarial and bookkeeping functions for the Principal and Staff 
  • Maintain budget for Operational, activities, and equipment
  • Make deposits when necessary
  • Prepare requisitions for purchases 
  • Purchase supplies for staff
  • Reconciliation of P-Card monthly
  • Keep inventory of the school
  • Assist employees, parents and students with inquiries and concerns  
  • Screen calls for the Principal and other staff in the office 
  • Collect and submit accident reports 
  • Work with substitutes at the school when they report for their assignment 
  • Submit timesheets for substitutes 
  • Support teachers in classroom or school wide activities
  • Record absences
  • Work with staff to finalize grades, print and mail report cards
  • Responsible for transcripts and verification of previous education
  • Send records/receive records and maintain cumulative files
  • Registration and withdrawal of students
  • Make sure data is correct for reporting purposes
  • Work with technology on device assignments 
  • Collect fees 
  • Monitor sign in and sign out of students and guests
  • Monitor the nurses office and provide assistance or contact a nurse
  • Work with food service on meals for students
  • Schedule appointments for parent teacher conferences and Principal
  • Follow oral and written directions 
  • Any and all other tasks as assigned by the Principal or his/her designee

 Performance of duties will be evaluated at least annually in accordance with Aztec School Board Policy.
