Job Description

Responsibilities:
-The Special Education Administrative Assistant will assist the Director and Supervisor with communications, both verbal and written to staff/districts and families regarding all special education matters.
-Ability to have professional face to face interactions with all stakeholders, determine priority matters and alert appropriate personnel.
-Management and maintenance of student database and IEP database and all IEP/evaluation process paperwork.
- Assist Director and Supervisor with scheduling of all meetings as needed and maintaining deadlines for all special education meetings and paperwork.
-Review of all paperwork for accuracy.
-Review and management of student restraint and incident data, oversight of Medicaid completion and billing.
-Manage and oversee referral scheduling;
-Manage and Oversee referral process FTE and extended evaluations
-Maintain database for MCAS and all student-related data within student information management system and special education management system

-Manage and communicate all changes related to student enrollment/termination/change in program, etc
-Input of all new student information into special education management system (tour, referral info and packet, IEP, etc)
-Distribute IEPs to staff
-Enter/check IEPs (new student or newly signed) into special education management system
-Support Director and Supervisor with communication with district regarding scheduling annuals, RE, progress, extended evaluation, etc
-Manage and oversee 30/60/90 Day IEP follow ups with caregivers
-Distribute progress reports to stakeholders
-Ensure all applicable databases (eSped, Restraint Logs, PowerSchool) are accurate
-Upload all special education paperwork into eSped
-Maintain district Restraint/Incident Reports
-Support maintenance of Medicaid documentation
-Assist with communication to stakeholders
-Maintain any 51a reports
-Other duties relevant to the role as requested by the Director.

-This position is a 40 hr/week, calendar year position that is eligible for paid holidays, vacation, sick and personal time.

Performance Review/Evaluation
-There will be an annual performance evaluation for this position.
Salary: TBD based on experience
Physical Requirement:
-Position requires light work exerting up to twenty (20) pounds of force occasionally, and/or ten (10) pounds of force constantly to move objects.
-Constant hearing, hand eye coordination/mind eye coordination intermittent keyboarding and telephoning. Frequent repetitive motions with wrists, hands, and fingers.

-Excellent oral and written communication skills.
-Computer proficiency in spreadsheets, databases, and work processing.
-Demonstrated ability to work well with others.
-Demonstrated organizational skills.
