Clarendon Elementary School Secretary
Clarendon-Holly Grove School District

Secretary is responsible for clerical and receptionist duties in order to optimize workflow procedures in the office.

Secretary will assist principal, teachers and support staff by supporting them in all educational endeavors.
Be the point of reference for all queries, requests or issues.
Always use office etiquette: Be courteous, respectful, professional and punctual.
Make sure confidentiality is maintained.
Accurate records must be kept in eschool of student attendance daily.
Teacher and staff absences reported to the CSD office daily in a timely manner.
Respect the privacy of the principal when in conference.
Share information with central office administration and district wide when appropriate and place it on the website when necessary.

Responsibilities and Expectations:
Excellent Communication Skills are imperative.
Work well with parents, guardians, teachers, support staff, visitors and the community.
Answer phone calls and redirect them when necessary. Take the name of the caller, phone number, and reason for calling.
Manage the daily/weekly/monthly agenda and arrange new meetings and appointments.
Prepare and disseminate correspondence, memos and forms.
File and update contact information of employees and parents.
Support and facilitate the completion of regular reports expeditiously.
Develop and maintain an appropriate filing system.
Check frequently the levels of office supplies and place appropriate orders through the CSD office.
Document expenses (accounts payable and receivable) on any and all activities associated with the campus.




Job Duties:
Filing/Typing
Perform duties that are directly assigned to me by the Principal/Dean of Students
Prepare employee absentee report when teachers or staff are out
Make ID badges for visitors
Send outgoing mail to district office
Email or call ESS when substitutes are needed
Print absentee report for students and parents as needed
Verify absentee information for students, parents, and teachers when necessary
Print labels as needed
Print class lists for teachers, substitutes, and office use
Keep record of parents who call the school to report the absence of a student
Fax or email documents for faculty/staff
Request homework for students when a parent calls that his/her child is absent due to illness
Fill supply request for teachers
Assist Principal or Dean of Students in locating students and have them report to his office for a conference
Complete admit or tardy slip for students entering school
Enter new and updated student information into the computer
Inform teachers of important information to include the daily bulletin
Have knowledge of School Dude and Technology Help Ticket
Place teacher orders when needed for supplies
Enter purchase order requests to the district office
Make sure fire drills, tornado drills, active shooter and lock down practices are performed regularly and in consultation with the principal and that all forms are submitted to the administration office
Correspond with teacher/staff via email on a daily basis
Work in Eschool and COGNOS on a daily basis
Perform appropriate accounting procedures of any funds (internal control of all receipts)
Required to display diplomacy and patience in all situations
Multitasking skills are imperative
Perform other duties as assigned and needed
