Job Description

Job Title: HR/Operations Manager

Supervisor: Director of Operations

Start Date/Hours: ASAP - June 30; 8:00am-5:00pm, Monday through Friday

Description: The HR/Operations Manager fills a key role in the safe and efficient day to day operation of Codman Academy Charter Public School. The role requires performing a variety of tasks including complex clerical, record keeping, facilities management, human resources support as well as implementation of policies and procedures related to building and administrative operations. The HR/Operations Manager is an important link in the public relations and communications processes with staff, parents, community members and our vendors. The HR/Operations Manager must possess good independent judgment, must be organized, accurate, thorough, and able to monitor work for quality. The HR/Operations Manager must also be able to work as a team member and understand the importance of being supportive, responsive and responsible to our students, families and staff.

Responsibilities include (but not limited to):

Office Management

Welcome visitors and maintain regular communication with families
Ensure that all visitors sign in and take a visitor badge where necessary
Ensure the safety and security of the school by making sure that the front door is locked and entry to the premises is controlled
Assist in all aspects of maintaining a professional front office, including but not limited to fielding and directing incoming phone calls to appropriate staff members in a timely, professional manner, filing, copying, and faxing sensitive information
Supervise all mailings to families (including collecting and copying all materials)
Process incoming & outgoing mail
Create, process, and distribute student and personnel documentation
Ensure the main office is kept clean and that binders and bulletin boards are kept up to date
Oversee student sign-in and documentation for late arrivals and early dismissals
Serve as school attendance coordinator; enter daily attendance in PowerSchool; activate automatic all to the homes for tardy and absentee students
Oversee all supply ordering and replenish instructional & office supplies
Update student records in PowerSchool
Serve as school Registrar; support enrollment and student records; process student transfers, request for transcripts/records
Provide general administration support to the Head of School, Chief Operating Officer, and Director of Operations

Facilities Management

Liaise with CSHC Building Services and Operation as well as CACPS contracted cleaning services to ensure that all maintenance needs are being met
Submit work orders for repairs to CSHC as needed
Troubleshoot problems that may arise immediately
Ensure proper functioning and maintenance of the heating, electrical, plumbing, roofing, and other building systems in collaboration with CSHC Building Services and the Director of Operations
Maintain and uphold building safety systems in case of fire, lockdown, or other emergencies
Assume responsibility for security of facility, including managing the alarm system, camera system, key distribution and tracking any other security issues
Oversee proactive weekly inspection of facilities and generate action steps accordingly
Assist in coverage within the Operations Department
Take a lead role in emergency operations planning and implementation for the school

Recruitment & Talent Development

Maintain current HR files and database
Lead and oversee performance review process 3x per year
Perform HR file audits to ensure that all required employee documentation is collected and maintained
Assist with HR onboarding paperwork collection
Complete HR offboarding paperwork and assist with exit interviews
Assist with data entry & document control for employee matters and personnel file
Post job ads and organize resumes
Collect employment and tax information

Student Transportation

Serve as liaison to BPS for all student transportation needs
Develop and execute a plan for orderly arrival and dismissal
Manage student Charlie cards; order, re-order, and deactivate as needed

Student Medical & Welfare

Inform the school nurse and parent of emergencies with student
Administer first aid when necessary, assisting with minor injuries or sickness

Preferred Qualifications and Skills

Bachelor’s degree preferred
Ability to work effectively in a fast past environment
Strong interpersonal skills and ability to work with others

Excellent computer skills (MS Office, in particular)
