  • Greet and assist parents, students, and visitors to the school in a friendly and professional manner, providing excellent customer service; greet, assign, equip and orient substitute teachers
  • Answer phones using a professional and courteous manner; route calls appropriately; take messages and distribute in a timely manner, check voicemail regularly throughout day
  • Ensure that the semi-monthly timesheets are collected and submitted to the home office by the designated date on the payroll schedule to the Payroll Administrator; ensure the timesheets are signed by the Principal
  • Coordinate Substitute teacher coverage by first communicating with teachers, then the administrators
  • Supervise and delegate duties to Office Support Specialist(s) as needed
  • Maintain accurate record of all keys and assets that have been distributed
  • Responsible for Credit Card Logs, Purchase Orders, Teacher Check Requests and Paid Time-off Forms
  • Act as financial manager for school; maintain petty cash; arrange for timely delivery of manual checks, deposits and supporting documents to home office
  • Sort through mail and distribute accordingly
  • Work with Administrators, Teachers and home office regarding any project or special requests
  • Oversee and record the maintenance of all office equipment and school facility
  • In charge of parent correspondence and mailings
  • If bilingual, assist with translations (English to Spanish) IEP Meetings, school newsletters, flyers, parent meetings, and in all areas
  • Provide the Home office with school pictures and activities as needed
  • Responsible for the maintenance, storage, and security of all student files; responsible for inputting and maintaining student data into Student Information System (SIS) and cumulative records, identifying and updating student sub-group information (e.g. EL, SpEd) and daily attendance; create statistical and classification reports at the end of the month including monthly attendance report due to the home office
  • Responsible for accurate accounting with petty cash, counting, and depositing money by time due
  • Demonstrate knowledge of, and support Ingenium Schools mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the Code of Conduct
  • Acts as gatekeeper for the principal, accurately and efficiently managing the principal’s schedules, calendars, and daily activities
  • Provide coaching, training and planning support for office staff
  • Coordinate with IT department for support with all office equipment
  • Maintain and log emergency drills and reports to the home office
  • Receive, review, process, and reply to all facilities requests emailing to all parties involved, maintain and file all maintenance work orders with the authorizing plant manager
  • Submit and email all use of facility requests and after-hour events to authorizer and co-located principal
  • Post and report all board meeting agendas to the home office
  • Manage field trips
  • Liaise with external vendors ( company, promotional cap & gown pictures, health and wellness vendors, special events)
  • Organize and coordinate events as requested
  • Prepare agendas and take minutes for school meetings including but not limited to ELAC/DELAC, School Site Council, Staff Meetings, Parent Meetings, Student or Staff Disciplinary Meetings, etc.
  • Other general office duties/projects as assigned and needed




  • B.A./B.S. degree preferred
  • 1-2 years of Management experience and 2+ years of Customer Service experience preferred



Must have the ability to demonstrate and/or show competency in the following areas:

  • Bilingual in Spanish preferred
  • Intermediate proficiency in Microsoft Word, Excel, and Outlook
  • Correct English usage, grammar, spelling, punctuation and vocabulary
  • Oral and written communication skills
  • Interpersonal skills using tact, patience and courtesy
  • Intermediate proficiency in Student Information System or PowerSchool knowledge desired
  • Excellent management and organizational skills and a positive attitude



  • Lift 40 pounds using proper technique
  • Must have adequate vision to effectively review documents in varied formats i.e. paper and digital
  • Must have adequate hearing to respond to members and interact with the public.
    • Sitting or standing for extended periods of time.
    • Dexterity of hands and fingers to operate a computer keyboard.
    • Bending at the waist, kneeling or crouching to file materials
