Job Description




    1.High school graduate. Additional training in secretarial skills, accounting, and computer operations preferred.

  1. Demonstrate word processing skills and database knowledge.
  2. Demonstrate basic computer navigation/file management skills.
  3. Demonstrate competence for assigned responsibility and maintain confidentiality of student records and files.
  4. Demonstrate ability to maintain clerical records and prepare reports from such records.

  8. Strengths in organizational skills and attention to detail.
  9. Demonstrated ability to maintain complex clerical records and prepare statistical reports.

REPORTS TO:  Director of Special Education

 JOB GOAL:Responsible for collecting, verifying and submitting data related to the Individuals with Disabilities Education Act (IDEA). Support special education teachers with data production and verification using digital environments.

  1. Basic understanding of HTML/CSS for forms creation within the Webkidss program.
  2. Input data.  Perform data exchanges with other databases in the school district and from the Kansas State Department of Education;
  3. Perform data verifications to ensure accuracy;
  4. Back-up databases and file data;
  5. Maintain system requirements to optimize efficiency;
  6. Compile data and submit reports to meet established deadlines and schedules;
  7. Answer questions as they relate to student placement within the MIS system;
  8. Plan, design, create and modify databases for the MIS program; perform testing and evaluation of new or modified software/database applications related to MIS;
  9. Interpret user manuals and technical assistance documents to learn new skills.  
  10. Monitor, operate, and respond to the district computerized Individual Education Plan (IEP) program (Webkidss).
  11. Maintain the program demographic pages for all students.  
  12. Review all service lines; compare service lines with written services within the IEP before downloading to Kan      Service.     
  13. Support teachers with program use.  Troubleshoot and problem solve with teachers; service lines – Entering TIP/Exiting TIP
  14. Collaborate on the development of procedures for the beginning and end of the school year.
  15. Create one-click reports for needed reports.  
  16. Maintain physical files for students with disabilities – all student tested and dead files, keeping file orderly, updating as files are received.Operate other web-based software systems as they interact with MIS and the IEP program. Upload/download, import/export, etc.
    1. Collaborate on the development of procedural handbooks and guidance documents.
    2. Assist in training special education staff.      
    3. Attend meetings of Kansas Individualized Data System for Students (KIDSS) consortium.
    4. Attend meetings of the sub-committee of the consortium that manages the KIDSS program.
    5. Manage the Personnel Report for Categorical State Aid for Teachers
    6. Assist related service staff and transportation with monthly logs for Audit and Medicaid funds.
    7. Assist Medicaid coordinator with any and all information from both MIS (Kan Service) and WEBKIDSS
    8. Assist auditor with all information needed for annual audits.  
    9. Other duties as assigned.

    7. Visual Acuity--Clerical: Work deals largely with preparing and analyzing data and figures, accounting, transcription, computer terminal reading, operation of machines, at distances close to the eyes.
      1. The worker is not substantially exposed to adverse environmental conditions.
