Reports To:   Building Administrator

 

Position Purpose: To assist the secretary with the usual office routines and practices associated with a busy, hectic, productive, and smoothly-run environment; works extensively in receiving, welcoming, referring, and communicating with parents, students, community members, and school district personnel.

 

Qualifications:                      

  • Typing and word processing skills
  •  High School diploma or GED
  •  Ability to operate office machines
  •  Bookkeeping and accounting skills in running school’s food service program
  •  Ability to work extensively with computer/word processor, Excel, Access, Publisher
  •  Ability to handle pressure and stress
  •  Skill in working with the public in a positive manner
  •  Bilingual in Spanish and English

 

Physical/Emotional Requirements: The incumbent may be required to use the following skills and abilities during any part of the working day: speaking, hearing, visual, walking/mobility, consistency of temperament, ability to work with a variety of people at the same time, stamina for working in stress-producing environments.  Position may include stooping, kneeling, and bending; ability to sit/stand/move around at will.

 

Performance Responsibilities:      

  • Answer telephones/take messages (pleasant tone of voice, accuracy in messages and transfers, relate name of caller)
  • Greet visitors with pleasant communication skills
  • Manage daily attendance
  • Manage Spanish parent telephone line
  • Manage tardies
  • Assist with keeping supplies stocked and ordered 
  • Enter discipline referrals and suspensions 
  • Type suspension forms
  • Type work orders
  • Produce updated student class lists at least monthly
  • Produce in format described by office secretary
  • Manage pony mail distribution and preparation for departure
  • After-school supervision of late pick-ups
  • Copy as requested
  • Assist secretary as requested
  • Assist with enrollment as directed by secretary
  • Assist with CUM folders as requested by secretary
  • Enter new students/drops as requested by secretary
  • Maintain room reservation notebook
  • Update and maintain monthy calendar 
  • Enter student updates and email staff
  • Maintain monthly staff copy counts
  • Keep copy/printer paper supplied
  • Other duties as requested by secretary, assistant principal, and principal

 

Terms of Employment:       

Full-time – 8 hrs – wage and work year to be determined by the Board of Education.

 

Evaluation:

Performance of this position will be evaluated in accordance with provisions of the Board policy on evaluation of Support Service Personnel
