Job Title: Advancement Associate

The Advancement Associate will join a highly collaborative team to provide comprehensive administrative support for our Advancement operations with a focus on Advancement Services. The successful candidate is eager to learn about all aspects of a development operation and is detail-oriented, collaborative, and can comfortably and successfully manage several tasks simultaneously. The Advancement Associate will create redundancy for the Office for Institutional Advancement’s (OIA) day-to-day priorities and projects, specifically around gift processing and data integrity. The ability to interact confidently with Westminster volunteers and donors and to maintain strict confidentiality is required.


Supervisor:  Director of Advancement Services

Position Status:  This position is a salaried, non-exempt, full-time, regular, 12-month position.

Hours of Work:  Days of work are Monday through Friday and the core hours are 8:00 a.m. to 4:30 p.m.  Occasional evening and weekend work will be required as job duties demand.



  • Assist the Gift Management Specialist on all aspects of gift processing, including gift entry, receipting and stewardship letters
  • Ensure pledges and gifts are acknowledged accurately and in a timely fashion
  • Assist with Honor/Memorial stewardship communications
  • Assist with management of the School’s matching gift program
  • Interface with the Business Office regarding gift entry, gift posting, fund creation, gift restrictions, and reconciliation
  • Serve as a point of contact for donors regarding gift information
  • Run reports to review data integrity and ensure necessary corrections are made on regular basis
  • Document, maintain and regularly update OIA policies and procedures
  • Add new constituent records to the database as needed, analyze information and populate all appropriate data fields where information is available
  • Compose general correspondence and provide support for Advancement operations
  • Other duties as assigned



  • Bachelor’s degree required.
  • One to two years of experience in a non-profit or education environment.
  • Very strong computer skills, including high competency in Microsoft Office software and databases. Experience with Raiser’s Edge preferred.
  • Polished oral, written, telephone, and e-mail communication skills; ability to communicate effectively with a variety of constituencies.
  • Self-starter with ability to work independently and take initiative to meet deadlines for both short and long-term projects in a time-sensitive and fluid environment with attention to detail and accuracy.
  • Demonstrated ability to work as an effective team member and manage multiple projects at once.
  • Curious and committed to ongoing growth, professionally and personally.
  • Commitment to the mission of The Westminster Schools and willing to serve as an ambassador for the School both internally and externally.




While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out; and smell. The employee may occasionally lift or move up to 20 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.


While performing the duties of this position, the employee is occasionally exposed to outside weather conditions and may walk on slippery or uneven surfaces.




Travel is primarily local during the regular business day.  Overnight and out-of-area travel may also be required.
