Job Description

Job Duties: The Procurement & Receivables Manager will play an integral role ensuring timely procurement of necessary supplies and services, as well as timely receipt of revenue at LABBB Collaborative. The ideal candidate must be able to perform the following functions:

• Prepare purchase orders for all non-recurring expenses
• Liaise with vendors on timely receipt of orders, communicating any delays to internal stakeholders
• Process all accounts payable (entering invoices into the accounting software, printing checks on a weekly basis, obtaining necessary signatures on checks, and mailing payments out to vendors)
• Process monthly billing to districts for all student-related services (tuition, transportation, home services, extended services & one-to-one aides)
• Liaise with districts to ensure timely receipt of payments for all student-related services
• Reconcile all receivable accounts on a monthly basis in accordance with the monthly closing schedule
• Prepare an outstanding receivable aging report on a monthly basis for the Financial Administrator
• Reconcile all expense accounts on a monthly basis in accordance with the monthly closing schedule
• Process payments upon receipt in a timely manner
• Ensure compliance with all local, state, and federal procurement regulations
• Liaise on behalf of the Finance Office with any applicable internal/external stakeholder requests
• Other duties that may arise from time to time pertaining to procurement or receivables administration at LABBB Collaborative

    Job Requirements

    • Qualifications: The ideal candidate will, at minimum, have the following qualifications:

      • Bachelor degree or equivalent work experience processing payables and receivables
      • Must have or obtain (and maintain) MCPPO for Supplies & Services certification from OIG
      • Exemplary communication skills (written & verbal)
      • Exemplary customer service skills
      • Experience using accounting software (QuickBooks, Infinite Visions, or MIP)
      • Proficient user of Microsoft Office & Google platforms
      • Must be an organized, patient, team player
      • Alignment with LABBB’s mission and core values
