Job Description

**THIS IS A FULL TIME (8 HOURS/DAY, MONDAY THROUGH FRIDAY) 12 MONTH POSITION**


REPORTS TO: Superintendent


POSITION SUMMARY:


The primary purpose of this position is to provide professional and confidential secretarial services to the superintendent and to the school board and to act as a liaison between the superintendent, employees and the public. Within the superintendent’s guidelines, the secretary will interpret and disseminate information related to district organization, programs, policies and rules.


MINIMUM QUALIFICATIONS:


1. High school diploma or equivalent.
2. Criminal history clearance.
3. Three years of successful secretarial experience
4. Demonstrated basic skills through a local academic assessment.
5. Demonstrated secretarial skills as evidenced by district skills assessment.


ESSENTIAL FUNCTIONS:

  1. Composes, edits, and prepares documents, correspondence, forms, etc. from notes, rough draft, or by directive.
  2. Screens and routes mail, bulletins, memos.
  3. Screens and schedules appointments for the Superintendent and maintains district calendars.
  4. Performs reception and telephone duties for Superintendent Office including greeting, routing information and messages.
  5. Prepares meeting rooms for board and superintendent committee meetings.
  6. Takes and transcribes board meeting minutes and other meeting minutes as needed.
  7. Updates district policies and distributes policies as needed.
  8. Prepares and distributes board agendas, support materials, minutes, policies, and other materials to designated groups and individuals.
  9. Maintains District website and serves as District webmaster, including training and support for school websites.
  10. Maintains District social media.
  11. Schedules expulsion hearings, sends expulsion result letters, and maintains tracking spreadsheet.
  12. Processes open enrollment requests and maintains tracking spreadsheet.
  13. Processes inter-district transfer requests and maintains tracking spreadsheet.
  14. Assists parents and community members as needed.
  15. Attends districtwide secretarial meetings and assists secretarial staff as needed.
  16. Supports student records as needed.
  17. Maintains the confidentiality of sensitive and confidential information, related to district financial, collective bargaining, and legal matters.
  18. Works harmoniously with others and communicates effectively (both orally and in writing) with students, parents and staff.
  19. Works independently, prioritizing tasks to meet deadlines while maintaining a high degree of accuracy and attention to detail.
  20. Operates a computer and views a computer screen for prolonged periods of time.
  21. Frequent and prolonged talking/hearing conversations.

 

OTHER REQUIREMENTS:


1. Possible exposure to bodily fluids due to employee injury or illness.
2. Function where there is pressure, frequent interruptions, and a stressful atmosphere.
3. Work is almost exclusively indoors.
4. Evenings and/or extended work hours are often required.
5. May be required to obtain a First Aid and/or CPR Card and serve as a Delegated Caregiver or Designated First Aid Provider.
6. Occasionally performs other duties as required by supervisor.
