Job Description

SUMMARY: Under the direction of the Principal, the SCEL Administrative Assistant provides secretarial office support service to school administration and staff, relieving the Principal of administrative detail and performing technical duties, to assist in coordinating a broad range of functions throughout the school; facilitates a continual flow of contact with students, teachers, administrators, parents, and the general public; assists in establishing the proper atmosphere for the school and District; and performs other related tasks as required.


PRIMARY RESPONSIBILITIES:

1. Serves as a confidential secretary to the Principal and/or Assistant Principal

2. Performs and organizes a wide variety of secretarial and clerical duties for administrative personnel, teachers, and support staff in an efficient manner

3. Acts as a liaison for school administration, staff, students, parents, other District schools, District office personnel, and the community

4. Communicates with the public, maintaining confidentiality, employing discretion, and exercising sound judgment

5. Communicates and explains rules and regulations to staff, students, general community and maintains ready communication with other agencies

6. Independently prepares a variety of materials, such as correspondences, bulletins, requisitions, claims, reports, and statistical data from rough drafts, or oral instructions

7. Receives and disseminates critical disaster information in a calm and professional manner; Responsible for manning command central in a disaster

8. Orients and directs substitute teachers

9. Prepares purchase orders for materials and supplies using MUNIS, and prepares work orders for maintenance of buildings and equipment

10. Maintains and coordinates multiple calendars to include: school administrator (s), school facility events, site, master, and school events

11. Responsible for assigning and inventory of room keys

12. May assist parent organization with typing, duplication and distribution of bulletins and other materials

13. Serves as an active member of the Crisis Management Team

14. Maintains student databases and other student records including biographical, attendance, and grade reporting information such as progress reports and report cards

15. Submits information to the District’s web site coordinator

16. Maintains close liaison with coordinator of building use calendar

17. Reconciles and maintains checking, savings, and other school accounts and budgets

18. Compiles annual budget and school supply order

19. Maintains payroll for hourly employees

20. Performs other duties as assigned by the Principal


SKILLS AND ABILITIES:

1. Works efficiently and independently with a service-oriented attitude under stressful situations with constant interruption

2. Changes and adapts office procedure, and details in concert with the needs and requirements of the school and District

3. Understands and applies complex policies and rules

4. Ability to interact effectively with colleagues, parents, and staff

5. Strong computer skills including MUNIS, iPASS, Microsoft Word, Excel and PowerPoint

6. Enjoys working with students and staff in a school environment

7. Strong organizational, interpersonal, time management, and communication skills

    Job Requirements

    • QUALIFICATIONS:

      Minimum of a high school diploma with training and experience, including technology, in a service-oriented environment.
    • At least 1 year of relevant experience preferred
    • High School/Trade School degree preferred
    • Citizenship, residency OR WORK VISA IN United States required
