Job Description
The role of the Administrative Assistant is to enhance the departments’ effectiveness by providing information management support; communicating with limited English proficient students and their parents or guardians; supporting ELL teachers, liaisons, translators and other administrators and administrative assistants in accessing information, data, supplies and other resources; supporting the successful operations of a department designed to provide access to an equitable education for English Language Learners.

Job Duties:
• Communicates with a diverse population of students, families and departmental staff as well as teachers, administrators, and other administrative assistants by greeting them, in person or on the telephone; answering or directing inquiries.
• Serves as a liaison between the home and the district and works in collaboration with the ELL liaisons to ensure timely service delivery to schools, staff, students and families
• Stays informed of all legal and compliance related issues related to the education of English Language Learners that affect the operation of the department and acts accordingly.
• Manages all translations of written communication and interpretations for the district.
• Maintains and protects operations by keeping district and student information confidential.
• Works closely with the district’s Family Resource Center to expedite student registration.
• Attends parent/guardian functions in the evening as needed and acts as a bilingual facilitator.
• Produces information by transcribing, formatting, inputting, editing, copying, and transmitting text, data and graphics.
• Prepares reports and data by collecting and analyzing information.
• Secures information by completing database backups.
• Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
• Creates purchase orders for educational materials.
• Conserves the ELL Coordinator's time by reading, researching, and routing correspondence; drafting letters, fliers, brochures, databases and documents; collecting and analyzing information; initiating and following through on communications.
• Maintains ELL Coordinator's appointment schedule by planning and scheduling meetings, conferences, projects and events.
• Represents the ELL Coordinator by attending meetings in the Coordinator's absence.
• Assists the department to coordinate events and meetings.
• Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
• Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
• Contributes to team effort by accomplishing related results as needed.

• Able to multi-task while remaining flexible yet focused on departmental priorities.
• Administrative Writing Skills, Reporting Skills, Office Management, Scheduling, Microsoft Office Skills, Organization, Time Management, Presentation Skills, Equipment Maintenance, Verbal Communication.
• Bilingual in the most dominant languages of the district (Haitian Creole, Vietnamese, French or Spanish).
• Culturally sensitive to second language learning and adapting to a new culture.

Terms: The terms and conditions of employment are covered under the collective bargaining agreement between the Randolph School Committee and the Randolph Education Secretaries Association.
Salary: Consistent with the RESA salary schedule, range $18.11 - $23.83 per hour for 7 hours/day, 12 month position
